About the Executive Assistant role:

Full time Executive Assistant frequently required to attend our London office and will require regular national travel.

Provide executive assistant, administration and business support to Executive Director (President of Regulatory Services) within a highly regulated environment

Ensure effective business operations and management of time within procedures and deadlines, together with the smooth and efficient running of the Executive office environment.

Responsibilities of the Executive Assistant:

* Be the first point of contact within the organisation for the Executive Director(s) supported

* Frequent communication with the Group Executive, Board members and other senior executives both inhouse, and externally

* Manage everything from diary commitments to planning complex travel needs and offering high logistical support whilst ensuring effective and optimum use of Executives’ time

* Continual awareness of priorities and actions so as to meet deadlines and to anticipate the requirements of forthcoming cyclical events – show initiative, be proactive and stay ‘one step ahead’

* Provide the Executive Directors, as required, with papers, reports, correspondence so that the Director is in possession of all relevant information needed to assist in the decision-making process, and day-to-day business.

* Undertake administrative tasks including development/preparation of documents and presentations.

* Undertake/support specific project work as required to meet the changing needs of the business

* Undertake range of administrative tasks such as submission of expenses / invoice

The successful Executive Assistant will ideally have:

* Worked within a highly regulated industry as an EA or equivalent

* A high attention to detail

* Strong ability to flex and adapt to business and personal needs

* Capability to offer high logistical support

* Ability to communicate with both internal and external personnel at all levels

* Extensive secretarial and administrative experience at a senior level

* Previous experience working with Directors that have a global remit

* A high level of personal integrity and ability to maintain confidentiality and discretion is required at all times

* Professional, proactive and enthusiastic

* Self-motivated, flexible team player, willing to help and support others in a team environment
